Financial Donation Policy

1. Purpose

This policy sets out how Hope Tech Foundation accepts, manages, and uses financial donations. It ensures that all contributions are handled ethically, transparently, and in alignment with our charitable objectives — to provide technology to young people with cancer across the West Midlands.

2. Acceptance of Donations

We gratefully accept donations from individuals, businesses, trusts, foundations, and other organisations.

Donations may be made via:

Our website (via secure payment processor)

Bank transfers

Cheques made payable to Hope Tech Foundation

Fundraising platforms (e.g., JustGiving, GoFundMe, etc.)

Payroll giving and matched giving schemes

All financial donations are voluntary and non-refundable.

3. Use of Donations

Donations will be used exclusively to further the charitable purposes of Hope Tech Foundation, including:

Purchasing new technology (PCs, laptops, handhelds, etc.) for nominated children and young people

Buying essential accessories (e.g., headsets, keyboards, mice)

Covering necessary delivery and installation costs

Supporting operational and administrative costs necessary to run the charity effectively

We aim to ensure that a high percentage of all donations goes directly to fulfilling our mission and delivering impact.

4. Restricted vs. Unrestricted Donations

Unrestricted Donations
These are donations with no specific conditions attached and will be used where the need is greatest within the charity’s objectives.

Restricted Donations
If a donor wishes to restrict their donation to a specific project or type of equipment, we will honour that request, provided it aligns with our charitable aims. Donors must clearly indicate restrictions at the time of giving.

5. Transparency and Reporting

Hope Tech Foundation maintains full and accurate financial records of all donations received.

Annual financial summaries will be made available to the Charity Commission and shared with supporters upon request.

Donors may request confirmation or a receipt for their contributions.

6. Gift Aid

We are eligible to claim Gift Aid on qualifying donations from UK taxpayers, increasing the value of donations by 25% at no extra cost to the donor.

Donors must complete a Gift Aid declaration for this to apply.

7. Donor Privacy

All donor information is kept confidential in accordance with our Data Protection Policy and UK GDPR.

Donors can choose to remain anonymous.

8. Ethical Fundraising

We will not knowingly accept donations that are inconsistent with our values or that could damage the reputation or independence of the charity.

We will never pressure individuals into donating and will always respect the rights of donors.

9. Refunds and Complaints

As a general rule, donations are non-refundable.

If a donation was made in error, donors may contact us within 14 days to request a refund, subject to review by the trustees.

Any complaints regarding donations will be handled promptly and fairly, following our complaints procedure.

10. Policy Review

This policy will be reviewed annually by the trustees or sooner if required by legal or regulatory changes.
